The following steps will need to be performed in Microsoft Outlook to help reduce the amount of SPAM in your personal Inbox. The files will be assessed then moved automatically to a different folder which you will inspect and discard messages from time to time. The following instructions are for Microsoft Outlook 2002 SP2 for Windows. Directions for other versions or operating systems are similar and available by calling extension 5467.

While in Microsoft Outlook, use your mouse to pull down the Tools menu and select Rules Wizard… |

The resulting window appears. Click on New. |

At this window, select the radio button “Start from a blank rule,” select “Check messages when they arrive” and click Next >. |

Scroll down and select “with specific words in the message header.” When the rule appears in the Rule description, click on the words “specific words” with your mouse. |

At the resulting Search Text screen enter the text, “X-Spam-Level: ****” (without the quotes). There is a dash between each of the three words and a space after the colon and before the first asterisk. Each message coming in to your Inbox is assigned a rating based on a number of checks. This rating presents itself as a “star” rating. The fewer the stars, the fewer the objectionable characteristics the message contains. Five stars is the standard for most Spam. Four stars might filter more Spam messages but might also pick up on some messages you might wish to see. I set my level at 4 stars. Click Add when finished. |

This action moves the rule to the Search list. Click OK to leave the utility. Click Next on the Rules Wizard. |

Select “move it to the specified folder. Once selected and the rule appears in the Rule description, click on the underlined word “specified.” |

The resulting window appears. Click on New… |

Click on the plus sign to the left of your Mailbox to open your listing of folders. |

In the new window, type in the Name: Spam. Next, click on the plus sign next to your Mailbox, if it is not already open, and select Inbox. Click OK. |

You will be asked if you wish to place this new folder on your Outlook Bar. Your choice. Click OK on the resulting window after you make your choice, yes or no. Click Finish then OK on the Rules Wizard window. |

You will now have most of your Spam re-routed to your Spam folder. Go to this folder from time to time to select and delete the files. Remember to empty the Deleted Items folder every once in awhile. To do this, right-click on the Deleted Items folder and click on the appropriate command.
